At West Coast Centre for Learning (WCCL), our programs are intentionally designed as small-group, high-quality learning experiences. Each program is thoughtfully staffed and group compositions are planned in advance to ensure the best possible outcomes for participants.
Because of this, cancellations and late changes can significantly impact program delivery, other families, and operational costs. We kindly ask that families review the following policies carefully before registering.
General Policy Statement
A 3% late fee will apply to any overdue balance.
By registering for a program or service with WCCL, families and organizations acknowledge and agree to the terms outlined above.
We appreciate your understanding and cooperation in helping us maintain high-quality programming for all participants and families.
Family & Student Programs
Third-Party Funding
If program fees are being paid through external funding sources (e.g., Autism Funding, school funding, third-party agencies):
- It is the responsibility of the registrant to ensure all fees are covered
- Any portion not paid by the funding source remains payable by the family
- Standard cancellation and refund policies still apply
Group Programs & Camps
Full refunds are available with a minimum of 30 days' notice.
Cancellations within 30 days of the start date are non-refundable.
Once a program has begun, refunds or credits are not available for missed sessions, partial attendance, or withdrawal.
Transfers may be considered at WCCL’s discretion and are subject to availability.
Participant Readiness & Registration Information
Our programs and camps are structured, small-group experiences designed to support participation with increasing independence.
- Families must provide accurate information regarding participant needs, abilities, and level of independence
- Programs are best suited for participants who can engage with minimal support
- The Centre does not provide one-to-one support
If participant needs exceed what can safely be supported, WCCL reserves the right to withdraw the participant from the program. Refunds cannot be provided in these situations.
Absences & Make-Up Sessions
- Please notify your instructor in advance if a session will be missed
- Short make-up sessions may be offered depending on availability (does not apply to camps)
Make-up sessions are not guaranteed and are not a substitute for missed program time.
Cognitive Programs
(Fast ForWord, Cogmed, Clear Fluency, The Listening Program)
These programs involve individualized licensing, platform access, and dedicated clinician support.
Before Program Start
- 14+ days’ notice: Full refund
- 7–13 days’ notice: 50% refund
- Less than 7 days’ notice: No refund
- $80 administration fee applies to cancellations
After Program Start / Activation
- Refunds are not available once programs or platforms are activated
- This includes partial completion, withdrawal, or lack of participation
Cognitive programs involve non-reversible licensing, assigned user seats, and clinician time that cannot be reallocated once started.
Transfers & Deferrals
- Transfers may be considered with at least 7 days’ notice if licensing has not been assigned
- Transfers and deferrals are generally not permitted after program start
- Approved transfers must be used within 3 months
Program Expiry
Programs must be completed within the designated timeframe (typically 8–24 weeks depending on the program). Extensions may be granted at the Centre’s discretion and may include an additional fee.
Coaching & Assessment-Based Programs
(Executive Function Coaching & Wired for Work)
These individualized programs involve assessment activation and dedicated clinician or coaching time.
Cancellations & Refunds
- Refunds are available with 14 days’ notice if assessments have not been activated and services have not begun
- $80 administration fee applies to cancellations
This includes Birkman Assessments, Executive Function Skills Assessments, Discovery Sessions, and Coaching Sessions.
Once assessments are activated or services begin, refunds are not available.
Clinical & Professional Services Policies
Psychoeducational Assessment Policy
- $400 non-refundable deposit required to book intake
- 50% of fees due at first assessment booking
- Remaining balance due at feedback booking
Cancellations
- 48 hours’ notice required to cancel or reschedule assessment sessions
- Missed or late-cancelled sessions are billed at the full hourly rate
- 7 business days’ notice required to cancel a full assessment
- Late cancellations result in forfeiture of deposit plus a $500 fee
After Assessment Has Started
- Refunds are not available once the assessment process has begun
- Partial adjustments may occasionally be considered at the Centre’s discretion
Psychoeducational assessments involve reserved clinician time, testing materials, scoring, and report preparation that cannot easily be reassigned once booked.
Organizational & Professional Training Programs
(Mandt Training, Leadership Training, Mental Health First Aid)
Deposits & Payment
- 50% deposit required to confirm booking
- Deposits may cover assessments, training seats, travel, materials, and administrative costs
- Remaining balance due within 30 days of invoice
Cancellations & Refunds
- A minimum of 30 days' notice to be eligible for refund or credit
- Credits valid for 1 year
- Organizations are responsible for fee increases
- Non-refundable costs are deducted from refunds
If group size falls below minimum requirements, group pricing may no longer apply.
Professional training requires advance purchase of assessments, training seats, materials, and scheduling of certified trainers.
